Description

In tourist accommodation, the night porter carries out tasks corresponding to the reception department, coordination of guest stays, check-ins and check-outs and other night-specific tasks so that the guest feels looked after at all times. The night porter starts the working day when the majority of operational departments of the hotel establishment have already finished their service and is responsible compiling statistical data of great value to the hotel and simplifying operational accounting for the day. The task of the night porter in a hotel is of great importance as this figure is responsible for preparing reprts for hotel management on the income generated on the previous day and for preparing the statistical information to calculate the productivity and define operational strategies for more effective management.

Tasks

Taking as reference a medium-high level establishment, the night porter performs tasks specific to the reception department:
  • Resolve any incidents arising from the previous shift.
  • Control the occupation of the establishment, noting how many rooms are available for possible last-minute bookings, or managing late-arrivals in the event of overbooking.
  • Manage any check-ins pending for the day, check-in any guests that arrive during the early morning.
  • Perform invoicing and manage the check-out of guests leaving first thing in the morning.
  • Ensure that the guests feels looked after at all times, either directly at the desk or on the phone when booking a restaurant, buying a ticket for a performance or requesting a wake-up call.
During the night shift, the porter also carries out shift-related tasks that are essential for correct operation of the establishment:
  • Control the invoicing and administrative closure of the day for each of the operational departments of the hotel.
  • Shut down the computer for the day.
  • Create occupation and production lists for later distribution to the people responsible for the different departments.
  • Prepare the check-in and check-out lists for reception and organize the work of the morning and afternoon shifts.
