Description

The events manager markets, organizes and follows-up all events that take place in the establishment so that on the day of a banquet or convention all departments involved are well coordinated and the expectations of clients are satisfied, thus optimizing the space in meeting rooms and possibilities of sale.

Tasks

Customer service tasks:
  • Show the hotel meeting rooms to any clients wanting to hold a meeting, course, convention, etc.
  • Greet the clients on the day of the event and confirm the services, making a later follow-up.
  • Build client loyalty with careful service.
Tasks related to the internal management of department resources:
  • Draft quotes for meetings or conventions.
  • Draft budgets for conventions and banquets.
  • Follow-up quotes.
  • Follow-up events with the client before, during and after the event.
  • Write a summary of daily and annual events.
  • Ensure correct use of the meeting room schedule; update it and keep it in good condition.
  • Supervise services contracted for conventions and banquets.
  • Supervise the payment of deposits for events
  • Issue monthly control reports of the production at three months and a summary of the visits received during the current month.

  • Promote and sell the services for conventions and meetings.
  • Attend specialized fairs.
  • Reach the established quality and environmental standards.
Interdepartmental management tasks:
  • Ensure that management objectives are reached.
  • Notify all departments involved of all orders for service with sufficient notice so that they can comply with client expectations.
  • Supervise, together with the Head Receptionist, correct invoicing for services.
  • Coordinate with Administration the granting of credits and payment of deposits by companies and agencies.
  • Work with Business Management to study the competition (prices, conditions, new services) to consider the possibility of offering new services and prices.
