Description

These professionals plan, organise and coordinate, either for an individual or an institution, the tasks and logistics required for an event. They are in charge of organising, executing, marketing and monitoring the events for which they are responsible, with the aim of ensuring that all the departments involved are well coordinated and that the expectation of the clientele are met.

These professionals can participate in the organisation of massive events, such as congresses or conventions, which usually take more than a year to prepare and are attended by hundreds or thousands of people and accompanying persons, but also medium or small events, such as trips, journeys or events like conferences and courses.

Tasks

Define together with the clientele the needs to be covered:
  • Consider the characteristics of the venue and the number of attendees and speakers and study possible specific requirements, such as translation services, documentation, necessary infrastructures, etc.
  • Evaluate together with the client company the different options of physical spaces where the event can be held.
  • Foresee the booking, accommodation, and catering needs. Confirm the services and carry out a subsequent follow-up.
  • Build customer loyalty with a service tailored to their demands and needs.

Manage the resources needed to hold the event:
  • Prepare a detailed budget for all budget lines involved in holding the congress or convention and for optional and complementary services.
  • Negotiate the budget with clients and suppliers.
  • Follow up on the budget.
  • Supervise service contracts.

Ensure the correct execution of the event:
  • Ensure the correct use of the room planning, keeping it permanently updated and in good condition.
  • Communicate all service orders to all departments involved sufficiently in advance, so that the expectations of the clientele can be adequately met.
  • Manage and supervise the teams of subcontracted professionals, such as translators and interpreters, light and sound equipment, catering.
  • Provide personalised assistance during the event.
  • Responsible for the logistics involved in the closing of the event, as well as the economic and management results report.
  • Evaluate the results and the correct management of the congress or convention.
  • Seek to achieve the established environmental and quality standards.
