This professional is in charge of planning, organising and coordinating all of the work and logistics required to hold a congress, conference, incentive trip or event for a person or institution.

Congresses can take two to three years to organise and are attended by thousands of congressmen and their possible guest attendees from the world over.
A conference can be organised over a one-year period and tends to be attended by no more than three hundred people.
Incentive trips tend to be organised over a six month period and attended by no more than one-hundred participants from one same company.
Events such as meetings or training courses can be organised in less than one year.
Depending on their type and size, these can be categorised as business, family-based or institutional.


  • Jointly define the needs to be covered with the customer.
    Consider the nature of the venue, as well as the number of speakers and people attending.
    Consider specific requirements such as the need for translators and interpreters, any necessary paperwork, promotion, computers and other essential infrastructures, etc.
    Anticipate booking, accommodation and catering needs, possible entertainment programmes for participants and specific programmes for attendees.
  • Draw up a detailed quote of all budget items involved in the organisation of the congress or conference and any optional and complementary services.
  • Negotiate the budget with the client and suppliers.
  • Coordination and management of the team (office workers with expertise in hotel accommodation and transport bookings) in charge of executing the activities required to hold the congress.
  • Direct and supervise subcontracted staff teams (translators and interpreters, light and sound technicians, printers, catering, etc.).
  • Carry out budget follow-up.
  • Lend personalised assistance during the event.
  • In charge of the logistics involved in the closing of the event and drawing up the financial results and management report.
  • Assess results and the proper management of the congress or conference.
