Description

Professional specialised in controlling and managing all the activities necessary to ensure that everything comprising the exhibition arrives as planned. Therefore, this individual is responsible for coordinating the logistics, from the moment the work is collected at a museum, gallery or from its particular lender until it arrives to its destination. Their work requires knowledge of the necessary administrative procedures, the different modes of transport and the safety conditions necessary for handling and packaging works of art.

Tasks

  • Search for works at musuems and among collectors, depending on the concept and instructions defined by the exhibition curator.
  • Manage logistics for transporting the works.
  • Responsible for receiving the list of works that must be transported from the exhibition organiser, as well as detailed information on them (volume, dimensions, materials, etc.) and collection and delivery addresses.
  • Agree with the client (museums, galleries, individuals) about the most suitable conditions and transport method for each type of work (way to move them, security systems en route, thermal insulation, humidity and temperature control systems, fire detection, etc.).
  • Verify that the works are duly insured before transport.
  • Design the transport programme by considering the human resources, means available and time needed so that the works reach the destination on the agreed dates. Guarantee the financial profitability of the transport.
  • Study the most suitable packing procedures for each type of work, ordering the construction of custom-made protective boxes if necessary.
  • Execute administrative procedures, observing legal requirements in force on imports, exports and transfer of cultural goods, as well as customs formalities.
  • Reserve transport and accommodation for courriers (directly responsible for works during transfer) and prepare travel per diems when their payment has been agreed.
  • Make transport reservations for the works themselves (air, sea or land).
  • Coordinate the work with companies and agents from other countries when there is international transport involved.
  • Continuously track operations (know at all times where the works are located) and keep the client updated.
  • Prepare the documentation needed to transfer the works (collection and delivery receipts, permits, etc.).
  • Organise and file all information after the service has finished.
  • Coordinate with the exhibition to convey the ideas so that the exhibition is presented in line with the ideas set forth by the curator. Coordinate setting up the exhibition. In charge of managing the creation and publication of the exhibition catalogue.
  • Sometimes responsible for personal service at the post offices.
  • Work may include coordinating the route of the exhibition around several exhibition centres.
